- Definitions
External Organisation – an organisation, project that offers volunteering opportunities but is not registered on DSU volunteering page and is not a De Montfort Students’ Union department. De Montfort University departments/projects are also considered as external organisation.
DMU Volunteer – Volunteer students currently studying at De Montfort University and are registered on DSU Volunteering Page
Volunteering Provider – External organisation registered and approved on DSU website.
Volunteering Opportunity/Activity – Volunteering activities available on DSU Volunteering Website.
Account User/User – Additional Users added to Volunteering Provider account on DSU Volunteering Page.
- Purpose of DSU Volunteering Page
- DSU volunteering page is an online platform where external organisations are able to add volunteering opportunities to be viewed by DMU students, provided the registration process is completed successfully.
- The aim of this platform is to increase DMU students’ engagement in local volunteering opportunities by allowing to search for opportunities online using one platform. The students are also able to log their volunteered hours on the page which are then counted towards their DSU Volunteer Award accredited by HEAR.
- The users of the platform are DMU students and external organisations. Once registered on the Volunteering Page, the students will be able to get organisation contact details and apply for advertised opportunities by contacting them directly.
- The external organisations upon completing registration successfully will be able to add volunteering opportunities available at their organisation.
- All registered volunteers receive a monthly newsletter that lists all newly added opportunities.
- This site is only for voluntary activity. DSU Volunteering must not be used for finding paid employees.
- Volunteering providers must only recruit volunteers for volunteering opportunity/ies advertised.
- The use of site is free.
- No single opportunity will be promoted in favour of, or in competition with another externally provided opportunity
- Registering (External Organisations)
- External organisations that are seeking volunteers for their activities may wish to advertise their opportunities on DSU website. All organisations that completed registration will be considered to become DSU volunteering provider provided sufficient information is included in the registration account.
- In order to become volunteering provider on DSU website the following information must be supplied at the registration stage:
- Organisation Name;
- Organisation Description;
- Public Liability Insurance
- Health & Safety Policy
- Equal Opportunities Policy (or similar)
- Data Protection Policy
- Email address ;
- Phone Number;
- Full postal address;
- Primary contact person and their details including:
- First Name,
- Last Name,
- Job Title,
- Email address,
- Mobile Number.
Registrations will not be considered if any of the above information is missing.
- By submitting a registration application the organisation agrees to the Terms of Use of DSU Volunteering.
- The organisation must ensure that all date provided is correct and reflects the voluntary work the organisation is doing. Any changes to the nature of work, location, and contact details must be updated as soon as possible.
- Registration Process
- Only charities that are registered with Charity Commission for England and Wales will be approved.
- If organisation does not belong to charitable sector, only registered business/companies that are providing volunteering opportunities will be approved. This will be checked on gov.uk page ‘Get information about a company’.
- Once registration application is submitted, the organisation’s aims/values/activities will be considered against DMU Freedom of Expression and Academic Freedom.
- The details for the above will be taken from organisation’s website, social media platforms, any news articles the organisation or its employees are featured and any other publications available to public.
- Insurance policy details must be included in the registration account. Only insurance expiry date and policy number is required.
- Once review is completed, your organisation will receive an automated notification stating the outcome.
- Any queries regarding the outcome, should be emailed to DSU Opportunities, dsuopportunities@dmu.ac.uk.
- The approval process may take up to 20 working days.
- Account
- By using Volunteering provider account you agree to DSU website Terms of Use.
- As Volunteering Provider you will be able to add volunteering opportunities available at your organisation to be ‘published’ on DSU volunteering page, ‘Browse Opportunities’.
- The organisation may add logo to be displayed along their activities.
- The logo is volunteering provider’s responsibility and the provider must ensure that it meets all relevant copyright requirements.
- All information added by the volunteering provider is the provider’s responsibility.
- Inactive Accounts
- Volunteering Provider’s account will be deemed inactive if:
- No working contact details are provided;
- Volunteering providers do not respond to DMU student requests;
- No activities have been updated for more than 12 months;
- Volunteering Provider breeches DSU Terms of Use.
- Users will not have access to inactive accounts.
- To activate your account again please email dsuopportunities@dmu.ac.uk.
- Passwords and Security
- You may add additional users to the organisation’s account. All users will have a different password to access the account.
b) Volunteering providers use passwords to access their accounts.
c) The users of the accounts are solely responsible for their passwords and must ensure that the passwords are kept confidential.
d) DSU Volunteering holds no liability for any unauthorised or improper use of disclosure of any password.
e) Where password reset is required, the user should email dsuopportunities@dmu.ac.uk
- Volunteering Opportunities
- Your organisation must only add volunteering opportunities that are covered by insurance policy covering volunteering. The insurance and policy details must be added to your account before any volunteering activity is approved.
- All necessary risk assessments for the activity must be completed before the activity is uploaded to the website.
- Where required, the organisation takes full responsibility to perform DBS checks on DMU volunteers participating in volunteering opportunity.
- All volunteers that apply through DSU Volunteering must receive induction and relevant training for the role.
- Volunteers must be supervised by a professional where volunteering activity requires so.
- To ensure that that service works for volunteering providers as well as DMU volunteers all opportunity details must always be updated as soon as necessary.
- Volunteering opportunities must be removed when no longer available.
- Volunteering providers agree that DSU brokerage will not be used for, or to encourage, any unlawful purpose, post any inaccurate, incomplete or false information (including DMU volunteers, registered organisations, registered organisation account users and De Montfort Students’ Union).
- You also agree not to post or share any libellous, abusive, threatening, harmful, vulgar, obscene language.
- All volunteering opportunities must :
- be voluntary;
- be non-discriminatory – all students that have required skills must be able to apply and participate;
- be not for profit;
- only relate to an opportunity available at Volunteering Provider’s Organisation;
- Include appropriate categorisation available on the website;
- Be remove promptly when the opportunity is no longer available.
- Volunteers
- If your organisation receives a request from DMU volunteers interested in volunteering opportunity, your organisation should aim to respond to each applicant in a prompt manner even when the opportunity is no longer available.
- Should you receive a request from a volunteer to provide a reference for their future employment, your organisation should:
- Aim to reply to this request in a prompt manner;
- Consider providing a reference where possible if the student has volunteered for your organisation.
- DSU follows DMU Safeguarding Policy and procedure and all activities are aimed at respecting the fundamental right of adults and children to be safe. It is expected that the organisation has a policy or procedure that reflects DMU's Safeguarding policy and treats DMU students with the same approach to safeguarding.
- DSU volunteering will support student volunteers in the application process, finding the right role and evaluating their volunteering experience.
- DSU student volunteers follow DSU Member Code of Conduct. Should you have any queries regarding volunteer’s behaviour please contact activities@dmu.ac.uk.
- Data
- All contact details provided will be stored on MSL system and used only by De Montfort Students’ Union.
- Your email contacts will be made available to view for volunteer students interested in the activity.
- Telephone contacts will not be displayed on the website.
- Your account details will be used to prepare volunteering reports in order to analyse the use of the service and identify areas for improvement.
- You will have no access to DMU students’ data via website.
- DSU volunteering holds no accountability for any volunteer data collected and stored by the organisation.
- Communications
- We may contact you to share volunteer success stories and regarding any volunteering related information that we deem useful to provide a beneficial service to DMU students and registered volunteering providers.
This agreement will be reviewed and updated as appropriate and your organisation will be notified of the changes and asked to confirm your agreement.
